Billing system integration & runbooks

A complex claims pipeline, documented and watched end to end.

Illustration for Billing system integration & runbooks

Overview

The challenge

A complex claims and billing pipeline depended on a handful of experts, and problems were only found after payments went wrong.

Our approach

We documented the full pipeline, integrated with the practice-management and billing system, and added automated checks that flag issues daily.

Built with

  • Postgres
  • Node.js
  • React
  • SQLite

Standout features

  • Integration with a practice-management and billing system
  • Automated checks across nine business areas, each with a severity and an owner
  • Complete runbooks and handover documentation

Everyday impact

Billing issues can be fixed by whoever is on duty, not just one expert.

What we built

Inside the system

  • Billing system integration

Integration with a practice-management and billing platform for claims.

  • Automated checks

A catalogue of read-only checks across nine business areas, each with a severity, owner and fix guidance.

  • Daily state & summary

Results are tracked as new, ongoing or solved, with an AI-written daily summary.

  • Monitoring dashboard

A light/dark dashboard backed by a small API for reviewing issues.

  • Runbooks & handover

Complete documentation of the claims-submission pipeline so any team member can act.

How it works

From start to finish

  1. 01

Claims move through the billing pipeline.

  2. 02

Checks run daily against the integrated data.

  3. 03

Issues surface with an owner and fix steps.

  4. 04

Runbooks guide whoever is on duty through the fix.

    Integration

Serverless integration hub & admin console

Hundreds of serverless functions powering an entire suite of apps.

    Standout features

    • One back end for payments, commerce, SMS, voice, connected devices and AI
    • A typed SDK and live function catalogue, so every app integrates the same way
    • An admin console to deploy functions, manage scheduled jobs and watch database health

    Everyday impact

New apps launch on proven building blocks instead of rebuilding integrations each time.

    Integration

    Store-to-CRM sync on AWS

Orders and subscriptions flow into the CRM on their own.

    Standout features

    • Webhook receivers for orders, subscription charges and CRM postbacks
    • Queue-based processing, so traffic spikes don’t drop orders
    • Infrastructure as code with automated builds and tests

    Everyday impact

No more exporting orders and re-keying customers into the CRM.

    Built with

    • AWS Lambda
    • SQS

    Integration

    Wearable & device connection app

Connect a wearable in a couple of taps.

    Standout features

    • Device linking through an aggregator widget
    • A server-side proxy that keeps API keys out of the browser
    • Idempotent webhook intake and a preferred data source per metric

    Everyday impact

Users see all their fitness data in one place without typing anything in.

    Built with

    • TanStack Router
    • Supabase Vault
